Executive Administrator
The Executive Administrator will provide direct assistance to the CEO and other executive members as directed. This role requires exceptional professionalism, organizational skills, strong financial knowledge, discretion, and the ability to manage multiple priorities in a fast-paced environment while ensuring seamless day-to-day operations and compliance with executive directives.
Key Responsibilities:
- Serve as a liaison between the CEO and executive members to ensure the audit calendar is intact, findings are reviewed and approved, and tasks are assigned to staff as directed.
- Act as a liaison between the CEO and HR to track onboarding and retention efforts.
- Facilitate communication and timely completion of projects/tasks on behalf of the CEO.
- Collaborate with program directors and assist with tasks as assigned.
- Report all critical matters to the CEO.
- Provide clear and professional correspondence on behalf of and as directed by the CEO.
- Prepare and edit documents, reports, and presentations as directed by the CEO.
- Prepare meeting agendas and minutes as required.
- Oversee financial compliance as directed by the CEO.
- Gather productivity data and report to the CEO.
- Manage departmental accounting approvals, such as procurement requests and budget inquiries.
- Prepare monthly interim financial reports for CEO review and control.
- Assist with special projects and initiatives as directed by the CEO.
- Delegate recipient rights or compliance matters to the Quality Management Department.
- Uphold excellent customer service to all stakeholders.
- Organize and maintain an executive-level document filing system.
Qualifications:
- Bachelor’s degree or 5 years experience in a similar role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Strong problem-solving skills and the ability to work independently.
- Exceptional time management and organizational abilities.
- Must have a valid Michigan driver’s license, current automobile insurance, and the use of the insured vehicle during work hours.
