Receptionist (Full-time)

The individual who fills this position demonstrates that he or she is capable of carrying out the following roles and responsibilities:

  • Projects a favorable image of the company to promote and enhance public recognition and acceptance of all of its areas of endeavor
  • Ensure phone calls are answered professionally, timely, and redirected accordingly
    • Responsible for providing great customer service with the ability to present a professional manner to the public, clients, and all other agencies as necessary including in person, in writing, by telephone, or e-mail
  • Ability to present a professional manner to the public, clients, and all other agencies as necessary
    • Maintain an efficient and organized filing system to maintain documents, records, and report
  • Facilitate all necessary form procedures to address all needs of the consumer
    • Update client demographic information at each appointment
    • Assist in completing all annual paperwork
    • Manage billing procedures including working out details of consumer payment plans
  • Maintain an orderly office environment
    • Compassionately address consumers triaged concerns (phone or face-to-face)
    • Offer customer satisfaction surveys
    • Manage incoming faxes and mail
  • Must be able to maintain appointment lists for all associates, which includes rescheduling as needed and printing daily schedules
  • Maintain records of all scheduled, rescheduled, and canceled appointments accurately using the proper EMR procedures
    • Perform confirmation calls daily
    • Inform clinicians of schedule changes throughout the day
    • Inform the clinician when consumer present
    • Backfill appointments when appropriate
    • Schedule follow up appointments
  • Enter client data on the computer as procedures identify, including documentation of all communication from the consumer
  • Insurance verification of client appointments including verification of current authorizations
  • Responsible for assisting with the creation and maintenance of the discharged, new, and current client records
  • Obtaining and maintaining Cultural Competency on the job
  • All other duties as assigned

Qualifications and education requirements

  • 18 years of age or older
  • Working telephone
  • Possess a valid driver’s license
  • Pass all regulatory checks
  • Must obtain required annual corporate training
  • Possess reliable transportation
